Vitara Commerce

Privacy policy

Last updated

This policy explains how Vitara Commerce Ltd uses the personal information it collects through vitara.io and when you contact us. We decide how that information is used, which makes us its controller under UK data protection law.

Who we are

Vitara Commerce Ltd is registered in England and Wales, company number 08613144. Our registered office is 1 Balloon Street, Manchester M4 4BE. You can contact us at [email protected] or on 01772 846001.

This policy covers the website and enquiries. BOOKAR has its own privacy policy on bookar.uk. If your business uses one of our products, your agreement with us covers the information held in it.

Information you give us

When you use the contact form, we collect:

  • your name and email address
  • your phone number and business name, if you give them
  • the product you're interested in, the size of your business if you ask about Stockyard, and whether you asked for a demo
  • your message

We also keep the emails you send us.

Information collected when you visit

If you allow analytics cookies, Google Analytics records how you use the site: the pages you visit, how you arrived, your device and browser, and your approximate location. It doesn't record your name or contact details. Our cookie policy explains the cookies it sets and how to change your choice.

When you use the contact form, Google reCAPTCHA checks that a person is sending it, not an automated program. It loads when you start filling in the form, and sends Google details of your browser and device and how you use the page, including your IP address. Google's privacy policy and terms apply to it.

Like any website, the site's hosting and network providers process your IP address and basic details of each request, so they can deliver pages and keep the site secure.

How we use it

Here is what we use your information for, and the lawful basis for each use:

  • Replying to your enquiry, arranging a demo and following up on it. Our basis is our legitimate interest in answering people who contact us, or taking steps you've asked for before entering into a contract.
  • Understanding how the site is used, through Google Analytics. Our basis is your consent, which you can withdraw at any time with the Cookie settings link at the bottom of every page.
  • Running the site and keeping it secure, including keeping automated spam out of the contact form with Google reCAPTCHA. Our basis is our legitimate interest in providing a working, secure website.
  • Meeting our legal obligations, such as keeping the records the law requires.

We don't add people who contact us to a marketing list, and we don't sell personal information.

Who we share it with

These service providers handle personal information for us, under contract and only on our instructions:

  • Bird, which delivers contact form messages to our inbox.
  • Google, which provides our email (Google Workspace) and, if you allow it, Google Analytics.
  • DigitalOcean, which hosts the website.
  • Cloudflare, which provides the website's domain and network services.

Google also receives information from reCAPTCHA on the contact form, as described above, and uses it under its own privacy policy.

We may also share information with our professional advisers, with authorities when the law requires it, or with a buyer if our business is sold.

Transfers outside the UK

Google, DigitalOcean and Cloudflare are based in the United States, so your information may be processed there. When it is, the transfer is protected in the ways UK law requires, such as the UK–US data bridge or contract terms approved for UK transfers.

How long we keep it

We keep personal information only for as long as we need it:

  • Enquiries: up to two years after our last contact with you. If you become a customer, they become part of your customer records.
  • Google Analytics data: up to 14 months.
  • Technical logs: only as long as our hosting and network providers need them to run the site and keep it secure.

Your rights

You have the right to:

  • ask for a copy of the personal information we hold about you
  • ask us to correct it, or to delete it
  • ask us to restrict how we use it, or object to our using it
  • ask for the information you gave us in a format you can pass to another organisation
  • withdraw your consent to analytics at any time

To use any of these rights, email [email protected]. We'll reply within one month.

If you're unhappy with how we've handled your information, please tell us. You can also complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113.

Other things to know

  • You don't have to give us any information, but we need your name, email address and message to reply to an enquiry.
  • We don't make decisions about you by automated means.
  • We protect the information we hold with access controls and encrypted connections.
  • The site links to other websites, such as bookar.uk, LinkedIn and Facebook. Their own privacy policies apply when you visit them.

We'll post any changes on this page and update the date at the top.
